What your Linker handles

  • Keep each QuickBooks Online file current: record and categorize daily transactions, and keep the general ledger organized and consistent month to month
  • Reconcile bank, credit card, loan, payroll and merchant accounts every month, and run down anything that doesn't tie
  • Clean up a QuickBooks file someone else neglected: set up the chart of accounts and correct a mis-categorized history
  • Run accounts payable: code vendor bills, route approvals in Bill.com or your tool, and schedule payments against cash on hand
  • Run accounts receivable: invoice on time, apply payments correctly, and follow up on aging before it turns into a collection problem
  • Support payroll in Gusto, ADP or similar, and book wages, payroll taxes, benefits and deductions to the right accounts
  • Prepare month end close: accruals, prepaids, depreciation, journal entries and supporting schedules, in a package your CPA can pick up without rework
  • Produce the monthly reporting you actually use: profit and loss, balance sheet, cash position and budget to actual, with a short note on what moved and why
  • Support sales tax filings and year-end 1099-NEC and 1099-MISC preparation, and keep W-9s and vendor records current
Your software

We screen for QuickBooks Online, plus QuickBooks Desktop where you still run it, and the tools that feed it, such as Bill.com, Gusto, ADP, Ramp, Expensify, Dext or Hubdoc. The role requires strength in QuickBooks Online or Xero, so some bookkeepers come from Xero, and when your files are in QuickBooks we look for finalists who have worked in it. If a finalist has not used yours, you'll know before they start.

How much does it cost to outsource QuickBooks bookkeeping?

$2,995 a month for one dedicated, full-time person (40 hours a week), month to month, or $2,895 a month on the 6-month plan. There is no setup fee, and pay, equipment and management are inside that one number. For comparison, a US bookkeeper costs about $5,870 a month fully loaded, using the BLS median wage plus employer costs.

Can an outsourced bookkeeper work in our clients' QuickBooks Online files?

Yes, that is where most of the work lives. The role requires strength in QuickBooks Online or Xero, and when your files are in QuickBooks Online we look for finalists who have worked in it: setting up a chart of accounts, correcting a mis-categorized history and cleaning up a file someone else neglected. If a finalist's depth is in Xero, you'll know before they start. They work in your files with the access you give them, and only for your firm.

Can one bookkeeper handle several client files for our CPA firm?

Yes. They work only for your firm, across your client files, and how many entities one person carries is set with you from the complexity of each set of books. Experience inside a US accounting or CPA firm serving several clients at once is one of the things we screen for.

Will they prepare or sign tax returns?

No. Your Linker supports sales tax filings and year-end 1099-NEC and 1099-MISC preparation, keeps W-9s current, and closes the books so they are ready for the return. Preparing and signing income tax returns, and any tax advice, stay with your CPA or EA.

How is this different from hiring a virtual assistant?

You get one dedicated person who works only for your firm or business, on your hours, inside your software, and a Neon Link manager runs the account: pay, equipment, replacement if it comes to that, and a phone that gets answered. You never run offshore payroll or manage a freelancer alone. It is not a shared pool, a ticket queue or a 24/7 answering line.

How fast can someone start?

We start recruiting when you say go. You interview the finalist before anyone starts, and the start date is set with you once you pick the person. We would rather take the time to find the right fit than hand you whoever is free.

What if the person is not the right fit?

If the fit is wrong in the first 60 days, we swap them at no cost. After that, if they leave, we recruit the replacement at no charge and manage the handover. Training on your process runs at the normal monthly rate.

Do we have to sign a long contract?

No. Month to month is available on every plan. The 6-month plan trades a longer commitment for a lower monthly rate. A written quote at the published rate is held for 30 days.
