HVAC, plumbing and electrical dispatcher and CSR, dedicated to your company
Calls answered and booked, the board kept moving.
Neon Link gives HVAC, plumbing and electrical companies one dedicated, full-time customer service dispatcher who works remotely from the Philippines on your US business hours. They answer and book inbound calls, run the dispatch board, reschedule technicians, confirm appointments and follow up on open estimates and maintenance agreements, inside the field service software you already run. It costs $2,295 a month, month to month, with no setup fee.
Rates are pulled live from the system we run the business on. Page updated October 8, 2026.
What your Linker handles
- Answer inbound calls during their shift in your company's name, book jobs straight onto the board and capture what the technician needs to know before arriving
- Dispatch and reschedule technicians by skill, area and availability, and adjust the day when a job runs long or an urgent call comes in, by your rules
- Confirm the next day's appointments with each customer and rebook the ones that cancel
- Follow up with existing customers on open estimates and log the answer, so you know which jobs are coming and which are not
- Remind members when their maintenance agreement or membership is due for renewal, and book the visits it includes
- Send review requests after completed jobs through your software or review tool
- Quote prices only from the price book you set, and route anything that needs a diagnosis or a custom price to a technician or to you
- Clean up job and invoice records: close finished jobs, fill missing details and flag invoices that do not match the work
- Send you a short weekly summary of calls booked, open estimates and agreements coming due
We screen for the field service software you run, such as ServiceTitan, Housecall Pro, Jobber or FieldEdge. If a finalist has not used yours, you'll know before they start.
The standard we hire to
These are the working standards in the job posting your Linker is hired against.
- Every call taken is booked, rescheduled or logged with a next step before the call ends
- Missed calls and voicemails that come in during the shift returned within one business hour
- Every next-day appointment confirmed by the end of the shift, with any gap on the board flagged to the owner
Who we put on it
- Signs a confidentiality agreement and passes a background check
- Works your US business hours from a quiet, private workspace
- Wired internet with a backup connection and a plan for power outages
- Clear written and spoken English your customers and partners can follow
How it starts
- Step 1Tell us the work: a 15 or 30 minute call with Dan, or the sixty second scope on the homepage.
- Step 2Get a written quote at the published rate, held for 30 days.
- Step 3We recruit and screen for your work and your software, and you interview the finalist before they start.
- Step 4Your Linker works your queue on your hours. A Neon Link manager runs the account and answers when you need them.
- Step 5If the fit is wrong in the first 60 days, we swap them at no cost.
A good fit, and not a fit
- Shops where the owner or a technician answers the phone between jobs and calls roll to voicemail
- Companies with open estimates and maintenance agreements that nobody has time to follow up on
- Owners who want the same person on the board every day, who learns their technicians, service area and price book
- Diagnosing equipment problems or quoting repairs outside your price book. That stays with your technicians
- After-hours calls or a 24/7 emergency line. Your Linker is one person on your business hours
- On-site work of any kind
- Outbound cold calling or telemarketing. Follow-ups go only to your existing customers
Questions owners ask
How much does it cost to outsource HVAC, plumbing or electrical dispatch?
$2,295 a month for one dedicated, full-time person (40 hours a week), month to month, or $2,195 a month on the 6-month plan. There is no setup fee, and pay, equipment and management are inside that one number. For comparison, a US customer service representative costs about $5,110 a month fully loaded, using the BLS median wage plus employer costs.
Should I hire a dispatcher or use an answering service?
It depends on when your calls come in. A dedicated dispatcher works your board on your business hours: books jobs straight into your software, moves technicians when the day changes, confirms tomorrow's schedule and follows up on estimates and agreements. Your Linker does not take after-hours calls or run an emergency line, so if you need nights and weekends answered, keep a service for those hours.
Can a virtual dispatcher use ServiceTitan?
Yes, if that is what you run. We screen for ServiceTitan, Housecall Pro, Jobber or FieldEdge experience, and if a finalist has not used yours, you'll know before they start. They work inside your account with the access you grant.
How do I stop missing calls during busy season?
During your business hours, calls reach a person who knows your board and your price book, and missed calls and voicemails from the shift get returned within the hour. One person takes one call at a time, so if your peak brings more calls than one person can answer, add a second at the same rate, month to month. Calls after hours are outside what a Linker covers.
How is this different from hiring a virtual assistant?
You get one dedicated person who works only for your company, on your hours, inside your software, and a Neon Link manager runs the account: pay, equipment, replacement if it comes to that, and a phone that gets answered. You never run offshore payroll or manage a freelancer alone. It is not a shared pool, a ticket queue or a 24/7 answering line.
How fast can someone start?
We start recruiting when you say go. You interview the finalist before anyone starts, and the start date is set with you once you pick the person. We would rather take the time to find the right fit than hand you whoever is free.
What if the person is not the right fit?
If the fit is wrong in the first 60 days, we swap them at no cost. After that, if they leave, we recruit the replacement at no charge and manage the handover. Training on your process runs at the normal monthly rate.
Do we have to sign a long contract?
No. Month to month is available on every plan. The 6-month plan trades a longer commitment for a lower monthly rate. A written quote at the published rate is held for 30 days.
