Dental insurance verification and billing, handled by one dedicated specialist
The breakdown before the visit, the follow-up after the claim.
Neon Link gives dental offices one dedicated, full-time insurance verification and billing specialist who checks eligibility and enters the full breakdown of benefits before each appointment, then submits claims with attachments, works denials and posts EOBs. They work remotely from the Philippines on your US hours, inside your practice software and payer portals. It costs $2,995 a month, month to month, with no setup fee.
Rates are pulled live from the system we run the business on. Page updated October 8, 2026.
What your Linker handles
- Verify eligibility for every patient on the schedule ahead of the appointment and enter the full breakdown in your practice software: deductibles, annual maximums, coverage by procedure category, frequencies, waiting periods and missing tooth clauses
- Flag problems before the visit, such as an inactive plan, a used-up maximum or a frequency limit, so your front desk can talk to the patient first
- Submit claims daily with the attachments each payer requires, such as x-rays, perio charts, photos and your provider's narrative, and clear clearinghouse rejections the same day
- Follow up on unpaid and denied claims by portal and phone, fix and resubmit what can be fixed, and prepare appeals from your provider's documentation
- Post insurance payments and EOBs, reconcile what the payer paid against what was expected, and flag underpayments and downgrades for your review
- Send pre-authorizations and predeterminations for larger treatment and track each one to a decision
- Send patient balance statements and follow up on open balances in your office's voice, using only the payment arrangements you approve
- Support your front desk with scheduling: confirm appointments, fill openings from your list, and keep patient contact and insurance details current
- Log every payer call with a reference number, a name and a date, and send your office manager a short weekly summary of what is outstanding
We screen for the practice software you run, such as Dentrix, Eaglesoft, Open Dental, Curve or Denticon, plus your payer portals. If a finalist has not used yours, you'll know before they start.
The standard we hire to
These are the working standards in the job posting your Linker is hired against.
- Insurance verified at least 2 business days ahead for every patient booked that far out, and same-day additions verified during their shift
- Claims and attachments sent within 1 business day of the completed visit notes, and clearinghouse rejections worked the same day
- No unpaid claim older than 30 days without a documented follow-up
Who we put on it
- Signs a confidentiality agreement and passes a background check
- Works your US business hours from a quiet, private workspace
- Wired internet with a backup connection and a plan for power outages
- Clear written and spoken English your customers and partners can follow
How it starts
- Step 1Tell us the work: a 15 or 30 minute call with Dan, or the sixty second scope on the homepage.
- Step 2Get a written quote at the published rate, held for 30 days.
- Step 3We recruit and screen for your work and your software, and you interview the finalist before they start.
- Step 4Your Linker works your queue on your hours. A Neon Link manager runs the account and answers when you need them.
- Step 5If the fit is wrong in the first 60 days, we swap them at no cost.
A good fit, and not a fit
- Offices where the front desk verifies insurance between check-ins, and breakdowns get missed when the schedule is full
- Practices with an insurance aging report that keeps growing because nobody has time to call payers
- Owners and office managers who want one person who learns your payers, your plans and your patients
- Clinical decisions or treatment planning. Your Linker records what the plan covers; what to treat stays with your dentist
- Work in the office, such as check-in or taking payments at the front desk
- Practices whose state Medicaid program or payer contracts do not allow patient data to be handled offshore. Check yours before you start
Questions owners ask
How much does it cost to outsource dental insurance verification and billing?
$2,995 a month for one dedicated, full-time person (40 hours a week), month to month, or $2,895 a month on the 6-month plan. There is no setup fee, and pay, equipment and management are inside that one number. For comparison, a US medical office assistant costs about $5,320 a month fully loaded, using the BLS median wage plus employer costs.
Can a virtual assistant do dental insurance verification?
Yes, when it is someone who has done it before. We screen for US dental verification and billing experience and for the practice software you run. Your Linker checks eligibility through your payer portals and by phone, and enters the full breakdown where your front desk already looks, ahead of each appointment.
What about HIPAA and patient information?
HIPAA requires a business associate agreement before an outside party handles patient information, so one is signed before your Linker sees any.Your Linker signs a confidentiality agreement, passes a background check, and works from a private space where patient information cannot be seen or overheard. We hire people who understand the HIPAA minimum necessary rule and keep charts and x-rays off personal devices, and their access is whatever you grant in your own systems. Some state Medicaid programs and payer contracts limit offshore access to patient data, so check yours before you start.
Should we use a dental billing company or an in-house biller?
There is a third option: one dedicated person who works only for your practice, inside your own practice software and payer portals the way an in-house biller would, with a Neon Link manager running the account. The price is one flat monthly rate, not a percentage of what you collect. Your data and your process stay in your own systems.
How is this different from hiring a virtual assistant?
You get one dedicated person who works only for your practice, on your hours, inside your software, and a Neon Link manager runs the account: pay, equipment, replacement if it comes to that, and a phone that gets answered. You never run offshore payroll or manage a freelancer alone. It is not a shared pool, a ticket queue or a 24/7 answering line.
How fast can someone start?
We start recruiting when you say go. You interview the finalist before anyone starts, and the start date is set with you once you pick the person. We would rather take the time to find the right fit than hand you whoever is free.
What if the person is not the right fit?
If the fit is wrong in the first 60 days, we swap them at no cost. After that, if they leave, we recruit the replacement at no charge and manage the handover. Training on your process runs at the normal monthly rate.
Do we have to sign a long contract?
No. Month to month is available on every plan. The 6-month plan trades a longer commitment for a lower monthly rate. A written quote at the published rate is held for 30 days.
