Privacy Policy

1. Who we are

This website, neonlink.ai (the "Site"), is operated by Neon Link LLC, an Arizona limited liability company ("Neon Link", "we", "us", or "our"). We provide managed back office teams for businesses in the United States and Canada. This Privacy Policy explains what information we collect through the Site, how we use it, who we share it with, and the choices and rights you have. If you do not agree with this policy, please do not use the Site.

2. Information you give us

We collect information you choose to provide through the Site, including when you:

  • Request a quote or use our planning tools: your name, email address, company name, industry, and any description of your business or workload you type into our forms or tools.
  • Book a call: the name, email address, phone number, and notes you provide to our scheduling provider when you reserve a time.
  • Apply for a job: your name, email address, phone number, resume, work history, LinkedIn profile if you share it, and anything you include in your application notes.
  • Email or contact us: the contents of your message and your contact details.

3. Our AI planning tool

The Site includes a tool that reads a short description of your business and drafts a suggested team and price using our published rates. When you use it, the description you type is sent to an AI service provider (Anthropic) to generate the draft. Please do not include sensitive personal information about yourself or others in these descriptions; the tool only needs a general description of your business and workload. Descriptions submitted to the tool and the plans it generates are retained so we can improve the tool and understand what kinds of businesses need help; they are connected to your contact details only if you choose to provide them, for example by asking us to email you the plan. Pricing shown by the tool always comes from our published rate card, not from the AI itself.

4. Information collected automatically

When you visit the Site, we and our analytics providers may automatically collect your IP address, browser type, device type, operating system, referring pages, the pages you view, and how you interact with them. This includes our own first-party usage analytics (which pages are viewed and which site features are used), collected under the same consent model as everything else in this section. Some of this is collected through cookies and similar technologies, which are described in our Cookie Policy. For visitors in regions with notice-and-opt-out privacy laws (including the United States), analytics run by default and you can opt out at any time through our cookie notice or the reset control on the Cookie Policy page. For visitors in the EEA and UK, analytics stay off until you accept. A Global Privacy Control signal from your browser is always treated as an opt out.

5. How we use your information

  • To respond to your inquiries and prepare the quotes and plans you ask for.
  • To schedule and hold calls you book with us.
  • To evaluate job applications and communicate with applicants.
  • To provide, maintain, and improve the Site and our services.
  • To understand how the Site is used, through analytics you have consented to.
  • To protect the Site and our business against fraud, abuse, and security threats.
  • To comply with legal obligations.

We do not sell your personal information, and we do not share it with third parties for their own advertising.

6. Who we share information with

We share personal information only with service providers who process it on our behalf under appropriate agreements, and only as needed to run our business:

  • Hosting and infrastructure: our website host and our database provider (Supabase), which stores form submissions and job applications.
  • Email and productivity: Google Workspace for email and document storage, and Resend for transactional email delivery.
  • Scheduling: Cal.com, which powers the booking calendar on our book-a-call page.
  • Analytics: Google Analytics and Microsoft Clarity, subject to the regional consent model described above and your opt-out choice. Google Analytics measures traffic and usage patterns; see the Google Privacy Policy. Microsoft Clarity captures how you use and interact with the Site through behavioral metrics, heatmaps, and session replay; see the Microsoft Privacy Statement.
  • IP geolocation: IPinfo, which receives your IP address to determine your approximate country and network for analytics purposes, subject to the same consent model. IPinfo's privacy policy is at ipinfo.io/privacy-policy.
  • AI processing: Anthropic, which processes business descriptions submitted to our planning tool.

We may also disclose information if required by law, to protect our rights or the safety of others, or as part of a merger, acquisition, or sale of business assets. If that ever happens, this policy continues to apply to your information until it is updated.

7. Job applicants

If you apply for a role, we use your application to evaluate your candidacy, communicate with you about it, and consider you for future openings unless you ask us not to. Application materials are stored in our systems in the United States. If you are applying from the Philippines, we handle your information in a manner consistent with the Philippine Data Privacy Act of 2012. You can ask us to delete your application materials at any time by emailing [email protected].

8. Where your information is processed

We are based in Arizona, and your information is processed and stored in the United States. Members of our team in the Philippines may access information needed to do their work. Wherever your information is handled, it stays under this policy and under contracts that require our providers and team to protect it.

9. How long we keep information

We keep personal information only as long as we need it for the purposes described above, and then delete or de-identify it, unless a longer period is required by law (for example tax or accounting requirements). Quote inquiries and applications we no longer need are removed on a periodic basis.

10. Security

We use administrative, technical, and physical safeguards designed to protect your information, including access controls and encrypted connections. No website or system can be guaranteed perfectly secure, but we take the protection of your information seriously and limit access to the people who need it.

11. Your rights and choices

Depending on where you live, you may have some or all of the following rights over your personal information under laws such as the California Consumer Privacy Act and similar laws in other states, or the GDPR and UK GDPR if you are visiting from the EEA or UK:

  • Access: ask what personal information we hold about you and receive a copy.
  • Correction: ask us to fix information that is inaccurate or incomplete.
  • Deletion: ask us to delete your personal information.
  • Portability: ask for your information in a usable format.
  • Opt out: opt out of analytics at any time through our cookie notice or the Cookie Policy page, and out of any marketing email through the unsubscribe link in the email.
  • No discrimination: we will never treat you differently for exercising a privacy right.

To exercise any of these rights, email [email protected] with your request. We will verify your identity, respond within the time required by applicable law, and tell you if we need more time. Because we do not sell personal information or share it for cross-context behavioral advertising, there is no sale or sharing to opt out of. Where the law requires it, we treat your browser's Global Privacy Control signal as a decline for analytics.

12. Children

The Site is for businesses and for job seekers who are at least 18 years old. It is not directed to children, and we do not knowingly collect personal information from anyone under 16. If you believe a child has provided us information, contact us and we will delete it.

13. Changes to this policy

When we update this policy, we will post the new version here with a new "Last updated" date. If a change meaningfully reduces your rights, we will provide a more prominent notice on the Site.
