Virtual receptionist for small business, one dedicated person on your hours

One receptionist on your phones, not a per-minute meter.

Neon Link gives small businesses one dedicated, full-time remote receptionist who answers your customers' calls, emails and chats in your business's name, handles scheduling and account questions, and hands anything they can't resolve to a named person on your team with a clear note. They work remotely from the Philippines on your US business hours: one person who learns your business, not a per-minute service or a 24/7 line. It costs $2,295 a month, month to month, with no setup fee.

What your Linker handles

  • Answer inbound calls, emails and chats from your customers in your business's name and voice
  • Schedule and reschedule appointments, and follow up on missed ones
  • Handle account care: contact and billing updates, payment questions and service changes in your systems
  • Resolve what they can on the first contact, and escalate the rest with a clear handoff note and a named owner
  • Reach out ahead of renewal dates, and follow up on open tickets until the customer confirms they are closed
  • Handle cancel requests with care, and log the reason when a customer leaves
  • Log every contact the same day: tagged, dispositioned and closed or updated in your ticketing system or CRM
  • Follow your scripts, your compliance rules and your payment handling procedures
  • Spot the problems customers keep calling about, and report them to you with examples and a suggested fix
Your software

We screen for the phone system, helpdesk or CRM you run, such as RingCentral, Zendesk, Freshdesk or HubSpot. If a finalist has not used yours, you'll know before they start.

The standard we hire to

These are the working standards in the job posting your Linker is hired against.

  • First response to email and chat within one business hour, and every open ticket closed or updated the same day
  • First contact resolution at 75 percent or better on the issues they own
  • On the phones for the hours you agree, with breaks and lunch scheduled around your busiest times

Who we put on it

  • Signs a confidentiality agreement and passes a background check
  • Works your US business hours from a quiet, private workspace
  • Wired internet with a backup connection and a plan for power outages
  • Clear written and spoken English your customers and partners can follow

How it starts

  1. Step 1Tell us the work: a 15 or 30 minute call with Dan, or the sixty second scope on the homepage.
  2. Step 2Get a written quote at the published rate, held for 30 days.
  3. Step 3We recruit and screen for your work and your software, and you interview the finalist before they start.
  4. Step 4Your Linker works your queue on your hours. A Neon Link manager runs the account and answers when you need them.
  5. Step 5If the fit is wrong in the first 60 days, we swap them at no cost.

A good fit, and not a fit

  • Service businesses that miss customer calls because the owner or office manager is on another line
  • Businesses paying per minute or per call that now have enough volume for one full-time person
  • Teams that want missed appointments, renewals and open tickets followed up, not just messages taken
Not a fit
  • Advice that needs a license, such as medical, legal or insurance advice. Those questions go to your team with a handoff note
  • In-person front desk work, such as greeting visitors or signing for deliveries
  • A 24/7 answering line or after-hours emergency calls. Your Linker is one person on your hours
  • More calls at once than one person can take. One person answers one call at a time, so breaks and a second call roll to your voicemail or backup line

Questions owners ask

How much does it cost to outsource reception and customer calls?

$2,295 a month for one dedicated, full-time person (40 hours a week), month to month, or $2,195 a month on the 6-month plan. There is no setup fee, and pay, equipment and management are inside that one number. For comparison, a US receptionist costs about $4,440 a month fully loaded, using the BLS median wage plus employer costs.

Virtual receptionist, answering service or AI receptionist: which one fits?

It depends on your hours and your volume. An answering service or an AI receptionist fits round-the-clock coverage or light, occasional calls. A dedicated Linker fits a full day of calls, emails and chats on your business hours, when you want one person who learns your customers, schedules and reschedules, follows up on open items and logs every contact the same day.

Is it cheaper to hire a full-time remote receptionist than pay per minute?

It depends on your volume, so run the numbers. A per-minute plan bills every minute, so the cost rises with your calls. A dedicated Linker is $2,295 a month for 40 hours a week whether the phones are quiet or busy, and the time between calls goes to scheduling, follow-ups and logging. Put your last three months of answering bills next to that number and you'll know.

How is this different from hiring a virtual assistant?

You get one dedicated person who works only for your business, on your hours, inside your software, and a Neon Link manager runs the account: pay, equipment, replacement if it comes to that, and a phone that gets answered. You never run offshore payroll or manage a freelancer alone. It is not a shared pool, a ticket queue or a 24/7 answering line.

How fast can someone start?

We start recruiting when you say go. You interview the finalist before anyone starts, and the start date is set with you once you pick the person. We would rather take the time to find the right fit than hand you whoever is free.

What if the person is not the right fit?

If the fit is wrong in the first 60 days, we swap them at no cost. After that, if they leave, we recruit the replacement at no charge and manage the handover. Training on your process runs at the normal monthly rate.

Do we have to sign a long contract?

No. Month to month is available on every plan. The 6-month plan trades a longer commitment for a lower monthly rate. A written quote at the published rate is held for 30 days.
