Self-storage virtual assistant for move-ins, past-due follow-up and lien notices
Liens on time. Ledgers clean.
Neon Link gives self-storage operators one dedicated, full-time facility administrator who processes move-ins, works your past-due list every business day, prepares lien notices on the timeline you set and keeps every unit's lien file complete. They work remotely from the Philippines on your US business hours, inside the management software you already run. It costs $2,295 a month, month to month, with no setup fee.
Rates are pulled live from the system we run the business on. Page updated October 8, 2026.
What your Linker handles
- Process move-in paperwork for online rentals and reservations: confirm the e-signed lease, set up the tenant and unit in your management software, and send the welcome details you have approved
- Work the past-due list every business day by phone, email and text, using your script, log every promise to pay, and bring any request for a fee waiver or payment plan to you
- Flag accounts that are close to lien, prepare lien notices on the timeline you set for your state, send them through your software or mailing service, and track each one by date and delivery method
- Keep each unit's lien file complete: notices, mailing records, contact attempts and the ledger, so a unit that reaches sale has every record behind it
- Clean up tenant ledgers: find misapplied payments, duplicate fees and unapplied credits, and fix them only with your approval
- Return web leads, voicemails and rental inquiries during their shift so a reservation does not wait until tomorrow
- Post payments and keep tenant contact details and lease paperwork current
- Send you a short weekly summary of occupancy, past-due balances, lien status, and move-ins against move-outs
- Write and keep checklists for move-ins, the past-due cycle and your lien timeline, so the work can be handed off or improved
We screen for the management software you run, such as SiteLink or storEDGE. If a finalist has not used yours, you'll know before they start.
How the work is measured
What your Linker is measured on. The targets are set with you in the first week, from your volumes and your hours, and written into your statement of work.
- The past-due list worked on the schedule you set, with every contact attempt and promise to pay logged
- Every lien notice sent on the date your timeline sets, with a record of how and when it went out in the unit file
- Response time on web leads and voicemails during the shift
Who we put on it
- Signs a confidentiality agreement and passes a background check
- Works your US business hours from a quiet, private workspace
- Wired internet with a backup connection and a plan for power outages
- Clear written and spoken English your customers and partners can follow
How it starts
- Step 1Tell us the work: a 15 or 30 minute call with Dan, or the sixty second scope on the homepage.
- Step 2Get a written quote at the published rate, held for 30 days.
- Step 3We recruit and screen for your work and your software, and you interview the finalist before they start.
- Step 4Your Linker works your queue on your hours. A Neon Link manager runs the account and answers when you need them.
- Step 5If the fit is wrong in the first 60 days, we swap them at no cost.
A good fit, and not a fit
- Single facilities and small portfolios where the manager is buried in paperwork between walk-ins
- Operators with a past-due list that grows because nobody has time to work it every day
- Owners who want one person who knows every unit's lien file, not a rotating pool
- On-site work: showing units, overlocking, cleanouts or running the auction
- Legal advice on lien law. Your administrator follows the timeline you or your attorney set
- A 24/7 answering line. Your administrator is one person on your hours

Questions owners ask
How much does it cost to outsource self-storage back office work?
$2,295 a month for one dedicated, full-time person (40 hours a week), month to month, or $2,195 a month on the 6-month plan. There is no setup fee, and pay, equipment and management are inside that one number. For comparison, a US office clerk costs about $5,200 a month fully loaded, using the BLS median wage plus employer costs.
Can a virtual assistant handle our lien process?
They handle the paperwork and the tracking: each notice prepared on the timeline you set, sent through your software or mailing service, logged, and the unit file kept complete in case it goes to sale. The timeline itself comes from you or your attorney, because lien law is set state by state. They do not run the auction or give legal advice.
Will they call tenants who are behind on rent?
Yes. Working the past-due list every business day by phone, email and text is the core of the job. They use your script, log every promise to pay, and tell you who is close to lien. Any fee waiver or payment plan is your call, and they bring each request to you.
Does this work for remotely managed self-storage facilities?
For the office side, yes: move-in paperwork for online rentals, the past-due list, lien notices, ledger cleanup, and web leads, voicemails and rental inquiries returned during the shift, all inside SiteLink, storEDGE or the software you run. It is not a call center or a live answering line: one person on your hours returns voicemails, web leads and rental inquiries during the shift. Anything on site, such as overlocks, cleanouts and auctions, needs someone local.
How is this different from hiring a virtual assistant?
You get one dedicated person who works only for your storage business, on your hours, inside your software, and a Neon Link manager runs the account: pay, equipment, replacement if it comes to that, and a phone that gets answered. You never run offshore payroll or manage a freelancer alone. It is not a shared pool, a ticket queue or a 24/7 answering line.
How fast can someone start?
We start recruiting when you say go. You interview the finalist before anyone starts, and the start date is set with you once you pick the person. We would rather take the time to find the right fit than hand you whoever is free.
What if the person is not the right fit?
If the fit is wrong in the first 60 days, we swap them at no cost. After that, if they leave, we recruit the replacement at no charge and manage the handover. Training on your process runs at the normal monthly rate.
Do we have to sign a long contract?
No. Month to month is available on every plan. The 6-month plan trades a longer commitment for a lower monthly rate. A written quote at the published rate is held for 30 days.
