  • Open each new file when a contract is accepted: set it up in your transaction platform, build the checklist and calendar every date in the contract
  • Track inspection, appraisal, financing and closing deadlines every day, and warn the agent before a date is at risk, not after
  • Send documents for signature and chase every missing signature and initial until the file is complete
  • Keep each file complete and organized in your transaction platform, so it is ready for your broker's compliance review
  • Coordinate with the lender, the title or escrow officer and the other side's coordinator on documents, dates and closing status, and log every update on the file

How much does it cost to outsource real estate transaction coordination?

$2,295 a month for one dedicated, full-time person (40 hours a week), month to month, or $2,195 a month on the 6-month plan. There is no setup fee, and pay, equipment and management are inside that one number. For comparison, a US administrative assistant costs about $5,520 a month fully loaded, using the BLS median wage plus employer costs.

Can a transaction coordinator work without a real estate license?

It depends on your state. Rules for unlicensed assistants are set state by state, so check with your broker before you start. Your Linker does no licensed activity: no soliciting or advising clients, no negotiating, no explaining contract terms, no showings and no handling of earnest money or client funds. They handle the paperwork, deadlines and follow-up around each file, and the agent or broker owns every licensed act.

Is a full-time transaction coordinator cheaper than paying per file?

It depends on your volume. A per-file coordinator bills for each deal, so the cost climbs with every closing, while a dedicated Linker is one flat monthly rate that does not change with the number of files they carry, within what one full-time person can handle, and the same person preps listings, keeps your CRM current and schedules appointments. If you close only a few deals a year, paying per file will likely cost less.

What does a transaction coordinator do for a real estate agent?

They run the paperwork side of every deal from accepted contract to closing: open the file, build the checklist, calendar every deadline, chase signatures and documents, and keep the lender, title or escrow and the other side's coordinator moving. The agent keeps the client relationship and every licensed act, and gets back the hours the file used to take.

We start recruiting when you say go. You interview the finalist before anyone starts, and the start date is set with you once you pick the person. We would rather take the time to find the right fit than hand you whoever is free.

What if the person is not the right fit?

If the fit is wrong in the first 60 days, we swap them at no cost. After that, if they leave, we recruit the replacement at no charge and manage the handover. Training on your process runs at the normal monthly rate.

Do we have to sign a long contract?

No. Month to month is available on every plan. The 6-month plan trades a longer commitment for a lower monthly rate. A written quote at the published rate is held for 30 days.
