Virtual Assistant / Back Office Specialist
The person who keeps a US business owner's day on the rails.
The role
We are looking for an organized, proactive Virtual Assistant to run the day to day back office for a US small business: inbox and calendar, scheduling, records, order and invoice processing, CRM upkeep and general operations support. You will work as part of one client's team, on their hours, with Neon Link behind you. This is not a task-list job; we want someone who keeps things moving without being chased and tightens the process as they go. Selected candidates are interviewed now and matched to a client engagement as it opens.
What you will do
- Manage the inbox, calendar, scheduling and follow-ups for a US client
- Keep records, spreadsheets and the client's CRM or systems accurate and current
- Process orders, invoices, forms and documents with care
- Answer routine customer and vendor questions by email or phone
- Track open items and give clear updates on what is done, pending or blocked
- Document how the work is done and suggest ways to tighten it
- Take on new responsibilities as the client's needs evolve
What you bring
- 2 or more years in an administrative, operations, customer service or back office role
- Clear written and spoken English
- Comfortable with Google Workspace or Microsoft 365 and quick to learn new tools
- Strong organization and follow-through; you do not need reminders
- Able to work US business hours
- A quiet, private workspace and a wired internet connection
- Experience supporting a US business owner directly, or with a CRM such as HubSpot, Zoho or GoHighLevel
