Real Estate Transaction Coordinator
The person who gets every file from accepted offer to closing table.
The role
Neon Link places transaction coordinators with US real estate agents, teams and brokerages. You'll open each file when a contract is accepted, build the checklist, calendar every inspection, appraisal, financing and closing deadline, chase signatures in DocuSign, and keep the file complete in Dotloop, SkySlope, Paperless Pipeline or Open to Close so it is ready for the broker's compliance review. You'll keep the lender, the title or escrow officer and the other side's coordinator moving, and between closings you'll prep listing paperwork, keep the agent's CRM current in Follow Up Boss or a similar tool, and schedule showings and appointments. This is support work for licensed agents: you won't solicit or advise clients, negotiate, explain contract terms, show property or handle earnest money or client funds, and anything that needs a license goes back to the agent or broker. It matters because a missed contingency date can cost a client the deal, and an agent who trusts the file can spend the day with clients instead of chasing paperwork. People do well here when they live by a calendar, follow up before anyone has to ask and keep a file that anyone could pick up. Day to day you'll work with the agent, team lead or broker at one US client, as part of their team, with Neon Link behind you. In your cover note, name the transaction platforms you've used and the most files you've carried at once. The client meets you for a final interview before you start. Selected candidates are interviewed now and matched to a client engagement as it opens.
What you'll do
- Open each new file when a contract is accepted: set it up in the transaction platform, build the checklist and calendar every date in the contract
- Track inspection, appraisal, financing and closing deadlines every day, and warn the agent before a date is at risk, not after
- Send documents for signature in DocuSign or the platform's own tool, and chase every missing signature and initial until the file is complete
- Keep each file complete and organized in Dotloop, SkySlope, Paperless Pipeline or Open to Close, so it is ready for the broker's compliance review
- Coordinate with lenders, title and escrow officers and the other side's coordinator on documents, dates and closing status, and log every update on the file
- Prep listing paperwork and MLS input data for the agent: property details and draft listing remarks, entered or approved by the agent or authorized staff under the MLS's rules
- Keep the CRM current in Follow Up Boss or the client's system: contacts, notes and the follow-up tasks the agent sets
- Schedule showings and appointments on the agent's calendar and send confirmations
- Send the agent a weekly pipeline summary: files under contract, dates coming up, what is stuck and what needs the agent's decision
- Every new file opened, its checklist built and every contract date calendared within one business day of the accepted contract
- No deadline passes without the agent hearing about it ahead of time, and no file reaches the broker's compliance review with a missing signature, initial or document
- Every message from a lender, title or escrow officer or the other side answered or acknowledged the same business day
- A weekly pipeline summary the agent can read in two minutes without asking follow-up questions
What you bring
- 2 or more years coordinating US residential real estate transactions from contract to close, or assisting a US agent, team or brokerage with transaction paperwork
- Hands on with at least one transaction platform such as Dotloop, SkySlope, Paperless Pipeline or Open to Close, and with DocuSign or another e-signature tool
- Able to read a US purchase contract closely enough to pull every date, party and contingency into a checklist
- Clear written and spoken English at B2 level or better, with a professional tone on calls and email with lenders, title officers and agents
- Clear on the boundary: this is support work for licensed agents, and you don't solicit or advise clients, negotiate, explain contract terms, show property or handle earnest money or client funds
- Able to work US business hours, a night shift that usually starts between 9pm and 1am Manila time depending on the client's time zone
- A quiet, private workspace, wired internet of at least 25 Mbps with a backup connection, a plan for power outages, a computer that runs the client's tools, and a headset for calls
- Willing to sign a confidentiality agreement and pass a background check, and to handle buyer and seller personal and financial information by the client's rules and the Data Privacy Act
- Education: any bachelor's degree preferred, not required; relevant transaction experience matters more
- Follow Up Boss or another real estate CRM
- Listing coordination experience, including prepping MLS input data for an agent to approve
- Experience preparing files for a brokerage compliance review or audit checklist
- Brokermint or another brokerage back office system
