The role

Neon Link places account coordinators with US insurance agencies, brokerage general agencies (BGAs) and independent marketing organizations (IMOs). You'll run new business case management, tracking each application through underwriting and chasing outstanding requirements until the case is placed or closed. You'll process policy service paperwork in carrier portals, prepare renewals ahead of the date, issue standard certificates of insurance from the agency management system, such as Applied Epic, AMS360, EZLynx or HawkSoft, and keep client records current. You won't quote, bind or advise on coverage: anything that needs an insurance license stays with the agency's licensed staff, and your job is everything around it. It matters because a case stuck on one missing form doesn't get placed, and a renewal caught late is a client the agency can lose. People do well here when they track every open item without being reminded and know exactly where their work ends and a licensed agent's begins. Day to day you'll work with the agency owner, producers and account managers at one US client, as part of their team, with Neon Link behind you. In your cover note, name the agency management systems and carrier portals you've used, and say whether your experience is P&C, life or both. The client meets you for a final interview before you start. Selected candidates are interviewed now and matched to a client engagement as it opens.

What you'll do

  • Run new business case management: log each application, track it from submission through underwriting, and keep its status current in the agency's system
  • Chase outstanding requirements with clients, producers and carriers, such as missing signatures, forms, exam scheduling and records requests, until each case is placed or closed
  • Process policy service paperwork in carrier portals: address, payment and beneficiary changes, endorsement requests and status checks, as the agency's licensed staff directs
  • Prepare renewals ahead of the date: pull the renewal list from the agency management system, assemble the renewal packet, and follow up with clients on signatures, documents and payments
  • Issue standard certificates of insurance from the agency management system, log every request, and route anything non-standard, such as additional insured wording, to a licensed account manager
  • Keep client records, policy details, notes and attachments current so anyone in the agency can pick up a file
  • Answer routine client emails and calls about documents, payments and case status, and hand every coverage question to a licensed agent with a clear note
  • Send the agency owner a short weekly summary of open cases, outstanding requirements and renewals coming due
  • Write and maintain checklists for each carrier's requirements and the agency's service steps, so the work can be handed off or improved
What success looks like
  • No open case goes more than 3 business days without a documented follow-up on what is outstanding
  • Standard certificate requests sent the same business day they come in
  • Renewal work started at least 30 days before the renewal date, with the packet in the account manager's hands as soon as the carrier releases terms
  • A weekly summary the owner can read in two minutes without asking follow-up questions

What you bring

  • 2 or more years in a US insurance agency, BGA, IMO or carrier support role: customer service, policy service, case management or account support
  • Working knowledge of P&C or life insurance paperwork: how an application moves through underwriting, and what a renewal, an endorsement and a certificate of insurance are
  • Clear on the line: you don't quote, bind, sell or advise on coverage, and you route those questions to a licensed agent
  • Clear written and spoken English at B2 level or better, on the phone with carriers and in email a producer can forward without editing
  • Comfortable in carrier portals and an agency management system, strong with Google Workspace or Microsoft 365, and quick to learn a new tool
  • Organized follow-through: you track every open requirement until it is received, without reminders
  • Able to work US business hours, a night shift that usually starts between 9pm and 1am Manila time depending on the client's time zone
  • A quiet, private workspace, wired internet of at least 25 Mbps with a backup connection, a plan for power outages, a computer that runs the client's tools, and a headset for calls
  • Willing to sign a confidentiality agreement and pass a background check, and to follow client rules for policyholder personal, financial and payment data
  • Education: any bachelor's degree preferred, not required; relevant agency experience matters more
Nice to have
  • Applied Epic, AMS360, EZLynx or HawkSoft
  • P&C personal or commercial lines servicing, or life and annuity new business case management
  • Producer contracting and appointment paperwork for a BGA or IMO
  • CISR or LOMA coursework
