Self-Storage Facility Administrator
The back office behind the rental counter.
The role
Neon Link places facility administrators with US self-storage operators, from single facilities to small portfolios. You'll process move-in paperwork for online rentals and reservations, work the past-due list every day by phone, email and text, prepare lien notices on the timeline the owner sets for their state, and keep every unit's lien file complete. You'll also clean up tenant ledgers with the owner's approval, post payments, and return web leads and voicemails during your shift, all inside the facility's management software, such as SiteLink or storEDGE. This is remote office work: you won't overlock units, handle cleanouts or run auctions, and you never give legal advice on lien law, because the timeline comes from the owner or their attorney. It matters because the past-due list and the lien file are where a storage business either collects its rent or loses it, and a reservation that waits until tomorrow often rents somewhere else. People do well here when they follow a timeline to the day, stay calm and firm with a tenant who is behind, and log every contact. Day to day you'll work with the owner or facility manager at one US client, as part of their team, with Neon Link behind you. What you'll do
- Process move-in paperwork for online rentals and reservations: confirm the e-signed lease, set up the tenant and unit in the management software, and send the welcome details the owner has approved
- Work the past-due list every business day by phone, email and text, using the owner's script, log every promise to pay, and bring any request for a fee waiver or payment plan to the owner
- Flag accounts that are close to lien, prepare lien notices on the timeline the owner sets for their state, send them through the management software or mailing service, and track each one by date and delivery method
- Keep each unit's lien file complete: notices, mailing records, contact attempts and the ledger, so a unit that reaches sale has every record behind it
- Clean up tenant ledgers: find misapplied payments, duplicate fees and unapplied credits, and fix them only with the owner's approval
- Return web leads, voicemails and rental inquiries during your shift so a reservation does not wait until tomorrow
- Post payments and keep tenant contact details and lease paperwork current
- Send the owner a short weekly summary of occupancy, past-due balances, lien status, and move-ins against move-outs
- Write and maintain checklists for move-ins, the past-due cycle and the lien timeline, so the work can be handed off or improved
- The past-due list worked every business day, with every contact attempt and promise to pay logged
- Every lien notice sent on the date the owner's timeline sets, with a record of how and when it went out in the unit file
- Web leads and voicemails returned within one business hour during your shift
- A weekly summary the owner can read in two minutes without asking follow-up questions
What you bring
- 2 or more years in self-storage, property management, collections or a back office role supporting a US business
- Calm, firm and polite on the phone and in writing with a tenant who is behind, and comfortable following a script
- Organized with dates: a lien timeline only works if every step happens on the day it is due
- Clear written and spoken English at B2 level or better, with a professional tone in writing
- Strong with Google Workspace or Microsoft 365, including spreadsheets, and quick to learn a new management system
- Able to work US business hours, a night shift that usually starts between 9pm and 1am Manila time depending on the client's time zone
- A quiet, private workspace, wired internet of at least 25 Mbps with a backup connection, a plan for power outages, a computer that runs the client's tools, and a headset for calls
- Willing to sign a confidentiality agreement and pass a background check, and to follow client rules for tenant personal and payment card data
- Education: any bachelor's degree preferred, not required; relevant experience matters more
- SiteLink or storEDGE
- Delinquency and lien process experience with a US self-storage operator
- Collections or accounts receivable experience with a US business, including promise to pay tracking
- Texting and shared inbox tools for tenant follow-up
