What your Linker handles

  • Answer inbound calls during their shift in your company's name, book jobs straight onto your ServiceTitan board and capture what the technician needs to know before arriving
  • Dispatch and reschedule technicians on the board by skill, area and availability, and adjust the day when a job runs long or an urgent call comes in, by your rules
  • Confirm the next day's appointments with each customer and rebook the ones that cancel
  • Follow up with existing customers on open estimates and log the answer on the job, so you know which jobs are coming and which are not
  • Remind members when their maintenance agreement or membership is due for renewal, and book the visits it includes
  • Send review requests after completed jobs through your software or the review tool you use
  • Quote prices only from the price book you set, and route anything that needs a diagnosis or a custom price to a technician or to you
  • Clean up job and invoice records in ServiceTitan: close finished jobs, fill missing details and flag invoices that don't match the work
  • Send you a short weekly summary of calls booked, open estimates and agreements coming due
Your software

We screen for ServiceTitan when that is what you run, and look for Podium or Birdeye as a plus. The role requires hands-on time in at least one field service platform, such as ServiceTitan, Housecall Pro, Jobber or FieldEdge, so not every dispatcher has used ServiceTitan. If a finalist has not used yours, you'll know before they start.

  • Missed calls and voicemails that come in during the shift returned on the response time the owner sets
  • Next-day appointments confirmed on the schedule the owner sets, with any gap on the board flagged to the owner
  • Every open estimate and agreement coming due followed up on the schedule the owner sets, with the result logged on the job

Questions owners ask

How much does it cost to outsource ServiceTitan dispatching and call booking?

$2,295 a month for one dedicated, full-time person (40 hours a week), month to month, or $2,195 a month on the 6-month plan. There is no setup fee, and pay, equipment and management are inside that one number. For comparison, a US customer service representative costs about $5,110 a month fully loaded, using the BLS median wage plus employer costs.

Can a remote dispatcher work our ServiceTitan dispatch board?

Yes. Your Linker works inside your ServiceTitan account with the access you grant: booking calls onto the board, dispatching and rescheduling technicians by skill, area and availability, and confirming the next day's appointments. Changes to the day follow the rules you set, and anything that needs a diagnosis or a custom price goes to a technician or to you.

Do your dispatchers already know ServiceTitan?

Not all of them, so we screen for it. The role requires hands-on time in at least one field service platform, such as ServiceTitan, Housecall Pro, Jobber or FieldEdge, and when you run ServiceTitan we look for finalists who have used it. If a finalist has not, you'll know before they start, and you can weigh that in your interview with them.

Will they follow up on open estimates and memberships?

Yes. They call existing customers about open estimates and log the answer on the job, remind members when their maintenance agreement or membership is due for renewal and book the visits it includes, and send you a weekly summary of open estimates and agreements coming due. Follow-ups go only to your existing customers, never cold calls.

How is this different from hiring a virtual assistant?

You get one dedicated person who works only for your company, on your hours, inside your software, and a Neon Link manager runs the account: pay, equipment, replacement if it comes to that, and a phone that gets answered. You never run offshore payroll or manage a freelancer alone. It is not a shared pool, a ticket queue or a 24/7 answering line.

How fast can someone start?

We start recruiting when you say go. You interview the finalist before anyone starts, and the start date is set with you once you pick the person. We would rather take the time to find the right fit than hand you whoever is free.

What if the person is not the right fit?

If the fit is wrong in the first 60 days, we swap them at no cost. After that, if they leave, we recruit the replacement at no charge and manage the handover. Training on your process runs at the normal monthly rate.

Do we have to sign a long contract?

No. Month to month is available on every plan. The 6-month plan trades a longer commitment for a lower monthly rate. A written quote at the published rate is held for 30 days.
