What your Linker handles
- Verify eligibility for every patient on your schedule ahead of the appointment, by payer portal or phone, and enter the full breakdown in Dentrix: deductibles, annual maximums, coverage levels by procedure category, frequencies, waiting periods, missing tooth clauses and procedure history
- Flag problems before the visit, such as an inactive plan, a used-up maximum, a frequency limit or a plan that needs a predetermination, so your front desk can talk to the patient first
- Submit claims daily through your clearinghouse with the attachments each payer requires, such as x-rays, perio charts, photos and your provider's narrative, and work rejections as they come back
- Follow up on unpaid and denied claims by portal and phone, correct and resubmit what can be fixed, and prepare appeals from your provider's documentation
- Post insurance payments and EOBs, reconcile what the payer paid against what was expected, and flag underpayments, downgrades and adjustments for your office manager's review
- Send pre-authorizations and predeterminations for larger treatment, track each one to a decision, and record the payer's estimate where your office will see it
- Prepare patient balance statements and follow up on open balances in your office's voice, using only the payment arrangements you approve
- Support your front desk with scheduling: confirm appointments, fill openings from your list, and keep patient contact and insurance details current
- Log every payer call with a reference number, a name and a date, and send your office manager a short weekly summary of claims outstanding and denials
We screen for Dentrix when that is what you run, plus your payer portals and clearinghouse. The role requires hands-on time in at least one dental practice management system, such as Dentrix, Eaglesoft, Open Dental, Curve or Denticon, so not every specialist has used Dentrix. If a finalist has not used yours, you'll know before they start.

How much does it cost to outsource dental insurance verification in Dentrix?
$2,995 a month for one dedicated, full-time person (40 hours a week), month to month, or $2,895 a month on the 6-month plan. There is no setup fee, and pay, equipment and management are inside that one number. For comparison, a US medical office assistant costs about $5,320 a month fully loaded, using the BLS median wage plus employer costs.
Can a remote specialist do insurance verification in Dentrix?
Yes. Your Linker checks eligibility through your payer portals and by phone, then enters the full breakdown in Dentrix, where your front desk already looks, ahead of each appointment: deductibles, annual maximums, coverage by procedure category, frequencies, waiting periods, missing tooth clauses and procedure history. They work inside your Dentrix with the access you grant.
Will they already know Dentrix?
We screen for it. The role requires hands-on time in at least one dental practice management system, such as Dentrix, Eaglesoft, Open Dental, Curve or Denticon, and working knowledge of US dental plans and CDT codes, but not every specialist has used Dentrix. If a finalist has not, you'll know before they start.
How do they handle patient information?
HIPAA requires a business associate agreement before an outside party handles patient information, so one is signed before your Linker sees any. Your Linker signs a confidentiality agreement, passes a background check and works from a private space where patient information cannot be seen or overheard. We hire people who understand the HIPAA minimum necessary rule and keep charts, x-rays and patient lists off personal devices, and their access is whatever you grant in your own Dentrix and portals. Some state Medicaid programs and payer contracts limit offshore access to patient data, so check yours before you start.
How is this different from hiring a virtual assistant?
You get one dedicated person who works only for your practice, on your hours, inside your software, and a Neon Link manager runs the account: pay, equipment, replacement if it comes to that, and a phone that gets answered. You never run offshore payroll or manage a freelancer alone. It is not a shared pool, a ticket queue or a 24/7 answering line.
How fast can someone start?
We start recruiting when you say go. You interview the finalist before anyone starts, and the start date is set with you once you pick the person. We would rather take the time to find the right fit than hand you whoever is free.
What if the person is not the right fit?
If the fit is wrong in the first 60 days, we swap them at no cost. After that, if they leave, we recruit the replacement at no charge and manage the handover. Training on your process runs at the normal monthly rate.
Do we have to sign a long contract?
No. Month to month is available on every plan. The 6-month plan trades a longer commitment for a lower monthly rate. A written quote at the published rate is held for 30 days.
