The role

Neon Link places property management assistants with US property management companies. You'll answer tenant and owner emails and calls, take maintenance requests and coordinate work orders with the client's vendors, answer leasing inquiries and book showings, and collect application paperwork. You'll also send rent reminders and log delinquency follow-up, prepare lease renewals and owner reports, and keep every record current in AppFolio, Buildium, Yardi, Rent Manager or Propertyware. This is support work for the property manager: you won't approve or deny applicants, handle rent or deposits, show units, work on site or file evictions, and any notice you prepare is reviewed and sent by the manager. It matters because a tenant who can't reach anyone becomes a bad review or a move-out, and an owner who gets a late report starts looking for a new manager. People do well here when they stay warm with an upset tenant, track every open item until it is closed and know when a question belongs to the manager. Day to day you'll work with the property manager or office manager at one US client, as part of their team, with Neon Link behind you. In your cover note, name the property management software you've used and the kind of portfolio you've supported. The client meets you for a final interview before you start. Selected candidates are interviewed now and matched to a client engagement as it opens.

What you'll do

  • Answer tenant and owner emails and calls in the client's name, log every conversation in the property management software and route anything that needs the manager's decision
  • Take maintenance requests by phone, email or the tenant portal, open the work order, schedule a vendor from the client's approved list and follow up until the tenant confirms the job is done
  • Answer leasing inquiries with the listing details the client provides, send the application link and book showings on the leasing agent's or manager's calendar
  • Collect application documents and check each file is complete before handing it to the manager, who makes every screening and approval decision
  • Send rent reminders, follow up on late balances by phone and email using the client's scripts, and log every promise to pay; payments go through the client's portal, never through you
  • Track lease expirations, prepare renewal paperwork with the terms the manager sets, and follow up on signatures
  • Prepare notices from the client's approved templates for the manager to review and send
  • Keep tenant, owner, unit and vendor records current in AppFolio, Buildium, Yardi, Rent Manager or Propertyware
  • Prepare owner reports from the software for the manager to review before they go out
What success looks like
  • Every tenant and owner message that comes in during your shift answered or routed the same business day
  • Every maintenance request has an open work order and a scheduled vendor or a documented next step the same business day it comes in
  • No open work order goes more than 3 business days without a documented update to the tenant
  • Owner reports ready for the manager's review on the date the manager sets, with every number tied back to the software

What you bring

  • 2 or more years supporting a US property management company, landlord or leasing office with tenant communication, maintenance coordination, leasing or rent follow-up
  • Hands on with at least one property management system such as AppFolio, Buildium, Yardi, Rent Manager or Propertyware
  • Clear, warm English on the phone and in writing at B2 level or better, and steady with a tenant who is upset
  • Organized across many open items at once: work orders, renewals, applications and follow-ups
  • Clear on the boundary: you don't approve or deny applicants, take or handle rent and deposits, show units, work on site or file evictions, and you route those to the manager
  • Able to work US business hours, a night shift that usually starts between 9pm and 1am Manila time depending on the client's time zone
  • A quiet, private workspace, wired internet of at least 25 Mbps with a backup connection, a plan for power outages, a computer that runs the client's tools, and a headset for calls
  • Willing to sign a confidentiality agreement and pass a background check, and to handle tenant and owner personal and financial information by the client's rules and the Data Privacy Act
  • Education: any bachelor's degree preferred, not required; relevant property management experience matters more
Nice to have
  • Familiarity with US fair housing rules for leasing communication
  • RentRedi, Zillow or Apartments.com listing tools
  • Accounts receivable or collections follow-up experience
  • Spreadsheets past the basics in Google Workspace or Microsoft 365, for owner reports
