The role
Neon Link, a US-based company, pairs remote AI-enabled executive assistants in Nigeria with US founders and small business owners. Founders of small companies lose hours every week to email, scheduling, travel and follow-ups that slip. You join a founder and run that side of their day: the inbox, the calendar, travel, the CRM and every follow-up, so nothing falls through. This is a partner's job, not a task list.
We care more about how sharp you are than where you've worked: if you think ahead, write well and learn fast, we want to hear from you even if you've never worked with a US company. You use AI tools every day to draft replies, summarize long threads and meetings and research before calls, and you build simple automations when the same manual step keeps coming back. You'll have access to the founder's email, calendar and accounts, so we look for people who protect that access by habit. We never charge a fee to apply, test, train or start.
What you'll do
- Run the founder's inbox in Gmail or Outlook: triage, answer what you're cleared to answer, draft the rest for approval and flag anything urgent with a one-line summary
- Manage the calendar across US time zones: book, confirm and reschedule, protect focus time and prepare a short brief before important meetings
- Plan and book travel end to end: flights, hotels, ground transport and an itinerary the founder can read on a phone
- Keep the CRM current in HubSpot, Pipedrive or the client's system, and own follow-ups after calls so every next step has a date
- Use ChatGPT, Claude or similar AI tools daily to draft emails, summarize threads and meeting notes, and research people and companies before calls, checking every output before it goes out
- Build simple automations in Zapier or Make, such as lead routing, meeting follow-ups or recurring reports, and document how each one works
- Send the founder a weekly summary of what's done, what's waiting on them and what you'd change
- An inbox and calendar the founder trusts, handled on the turnaround set with the client
- No dropped follow-ups, with every open item showing a next step and a date
- Manual work the founder no longer does, because you drafted it, automated it or took it over
What you bring
- 3 or more years as an executive assistant, virtual assistant, office manager or chief of staff supporting a founder, business owner or senior leader directly
- Expert in Google Workspace or Microsoft 365, including shared calendars, labels, rules and Sheets or Excel past the basics
- Daily use of AI tools such as ChatGPT or Claude in real work, with the judgment to check what goes out
- Polished written English, good enough to send emails in the founder's name, and clear spoken English for calls
- Able to work US business hours, an afternoon and evening shift that starts between 2pm and 6pm Nigeria time depending on the client's US time zone and the time of year, and to hold that schedule long term
- Careful with a founder's accounts: you use the password manager and logins exactly as the client sets them up, never save passwords, card details or contacts to a personal device or account, and you'll sign a confidentiality agreement, pass a background check and show a photo ID and proof of your experience, such as experience letters, payslips or freelance invoices
- Education: any bachelor's degree preferred, not required; relevant experience matters more
- Experience supporting a US founder or business owner
- A working automation you built in Zapier, Make, n8n, Power Automate or a similar tool
- CRM admin in HubSpot, Pipedrive or GoHighLevel
- Personal admin and complex travel for a founder who travels often
Work setup
- Your own computer with 8 GB of RAM or more and an Intel Core i5, AMD Ryzen 5 or Apple M series processor or better, on Windows 10 or 11 or macOS, with a webcam and a noise canceling headset
- Broadband of at least 25 Mbps, with a mobile hotspot as backup
- UPS, inverter or generator power backup so a power cut doesn't end your shift
- A quiet, private workspace where the founder's email, calendar and calls can't be seen or overheard
- Tell us your city and state when you apply; we hire across regions, so one storm or outage doesn't hit everyone at once
You'll do well here if
